This includes any specific files or links shared for reference purposes.Importantly, any data accessed through cloud-based storage and related APIs is used solely for delivering the requested service outcomes (e.g. answering your queries or referencing content) and will not be used to train Large Language Models (LLMs) or any generalised artificial intelligence (AI) or machine learning (ML) models.We collect and store this information to handle your request responsibly, and we apply safeguards in line with the Australian Privacy Principles (APPs).

2.2 How we use your information and legal bases for processing

We use the information you provide to us in the following ways:

  • To provide, maintain and improve our services
    We use your information to deliver our AI-based services, operate and manage your account, process uploaded files, enhance service performance and provide access to the results via the contact details you’ve supplied.These uses are necessary to perform our contract with you and deliver the Services as outlined in our Terms of Service.

    If you contact us for support, sales or general enquiries, we use the information you’ve provided to respond and assist you. This includes troubleshooting issues, providing product guidance and addressing your feedback.We rely on either our contractual obligation or legitimate interests (where no contract exists) to manage communications and provide effective customer support.

We do not use any data from these files to train Large Language Models (LLMs) or any generalised artificial intelligence or machine learning systems. Your content remains within the scope of the requested interaction and is handled securely, in line with the privacy commitments outlined in this Policy.

We do not sell, rent or trade your email address or personal information with third parties for commercial purposes.

In some cases, we may share your information with a limited number of trusted third-party vendors who help us deliver and improve Homi AI. Homi AI does not display third-party advertisements and does not share your information with advertisers or ad networks.

3. Data retention and deletion

If you have an account with us

We will retain your personal information as long as your account is active or for as long as necessary to provide the services you’ve requested. If your account is deactivated, we will permanently remove any associated files in line with our Terms of Service.

At our discretion, we may continue to store certain information, such as email, contact details, billing records, payment history and other relevant data, for record-keeping, audit, fraud prevention and compliance purposes. We do not automatically delete inactive accounts, so unless you request the permanent deletion of your account, we will retain some information to assist in your future use of our services.

If you do not have an account with us

We do not store any files you upload or source for trying out the service, nor their converted formats, on our systems. We will retain personal information such as your IP address, email address, contact details and browser data for no longer than 180 days. After this period, we will permanently delete your browser data and anonymise your IP address and email, making them non-identifiable.

4. Use of Google Workspace APIs

We do not use any data obtained from Google Workspace APIs for the development, improvement or training of generalised artificial intelligence (AI) or machine learning (ML) models. Any information accessed through Google Workspace services is used solely to enhance our services and is not utilised for AI or ML model training or development.

5. Transfer of data to third-party AI tools

We do not transfer any Google user data to third-party AI tools for the purpose of developing, improving or training generalised or non-personalised AI or machine learning models.

6.  Your rights and choices

If you have an account with us, you can review and update your personal information through your user profile. If you don’t have an account or have questions about your personal data, please contact us at support@homiai.com.au.
